In short

  • Your practice must invite you before you can activate a Tebra Patient Portal account.
  • Available features can include health records, documents, secure messages, payments, receipts, and authorized guest access.
  • If a feature is missing or your information appears incorrect, contact your healthcare practice rather than changing clinical information yourself.

The Tebra Patient Portal gives patients a central place to review information shared by their healthcare practice. Depending on the practice's setup, you may be able to view health records and documents, communicate with your provider, review balances, make payments, download receipts, and grant access to a trusted family member or caregiver.

This guide summarizes the patient workflow documented in the official Tebra Patient Portal instructions. Screens and available options can vary by practice and may change as Tebra updates the product.

Activate your Tebra portal account

You cannot create a patient account independently. Your healthcare practice first sends an invitation to the email address associated with your patient record. Practice teams can follow Tebra's instructions to invite or reinvite a patient to the portal.

  1. Open the invitation email from your healthcare practice.
  2. Select Get Started.
  3. Confirm the email address shown on the account-creation screen.
  4. Create and confirm a password.
  5. Enter the requested date-of-birth information.
  6. Select Create Account to open the portal dashboard.

If you did not receive the invitation or the email address is wrong, contact the practice. Tebra's provider guidance notes that patient portal invitations depend on the email stored with the practice.

Sign in and navigate the dashboard

After activation, open portal.kareo.com, enter your email address and password, and select Sign in. Bookmark the portal only after confirming that the address is correct.

  1. Open the patient portal in a supported web browser on your computer, tablet, or phone.
  2. Enter the email address associated with your portal account.
  3. Enter your password.
  4. Select Sign in to open the dashboard.

The dashboard may show shortcuts for Health Records, Documents, Messages, Payments, and Itemized Receipts. The patient-name menu provides access to account settings, guest access, switching users, and sign out. Some options appear only when your practice has enabled them.

  1. Use the top menu to open the Dashboard, Health Records, Documents, Messages, Payments, or Itemized Receipt.
  2. Select View Health Records to review information such as labs, vitals, medications, problems, and allergies.
  3. Select View Documents for treatment plans, patient education, and other shared files.
  4. Select View Messages to review or send secure portal messages.
  5. Select the payment shortcut to review a balance, open a bill, or view prior portal payments when enabled.
  6. Select View Receipts to review available itemized charge receipts.
  7. Review the About You and About Your Practice panels for the contact information stored by the practice.

View and download health records

Select Health Records or View Health Records to review information your practice has made available. This can include laboratory results, vitals, active medications, problems, allergies, and care-team information.

For practice teams managing the underlying clinical data, Tebra provides separate instructions for reviewing and signing eLab results, adding vitals, navigating patient medications, navigating patient problems, and navigating patient allergies.

Review documents and treatment plans

The Documents area can contain treatment plans, education materials, and other files shared by your practice. A notification may appear when a treatment plan requires your signature.

  • Select a treatment plan to review its details before signing.
  • Use View for an on-screen document.
  • Use Download when you need an offline copy.
  • Ask the practice about any document you do not recognize or understand.

Treatment plans

Review plans that require a signature and plans already shared by the practice. Open the plan to read the details and download a copy when the option is available.

Patient education

Open education files your practice has shared, then use the download control if you want to retain a copy for later reference.

Other documents

Use View to open a file in the portal or Download to save it securely. The exact document categories depend on what your practice sends.

Related Tebra instructions for practice teams explain how patients sign a treatment plan in the portal, how staff share or remove a treatment plan, how the plan is documented in a clinical note, and how to send patient documents.

Downloaded health documents may contain sensitive information. Store them securely and avoid saving them on shared or public devices.

Send secure portal messages

The Messages area lets you review messages from your practice and compose a new secure portal message. It is useful for non-urgent administrative questions, follow-up questions, and documents your practice has asked you to provide.

  1. Select Messages, then New Message.
  2. Choose a provider from the recipient menu.
  3. Add a clear subject and message.
  4. Attach a requested image or document if appropriate. Tebra's current guide lists a 10 MB attachment limit.
  5. Select Send Secure Message.

Practice-side instructions are available for sending a Patient Portal message and navigating Tebra's Message Center.

For practices, maintaining a responsive portal inbox often requires clear ownership. A trained virtual medical assistant can support approved non-clinical inbox workflows under the practice's access controls, escalation rules, and supervision.

Review bills and make payments

The Payments section appears only when the practice has activated a supported payment service. It can show your current balance, billing details, and previous portal payments.

  1. Open Payments from the dashboard.
  2. Select View your Bill to review charges, insurance payments, adjustments, and the amount due.
  3. Select Make a Payment.
  4. Choose the full balance or another permitted amount.
  5. Enter payment details only on the secure portal screen.
  6. Review the amount, process the transaction once, and save the receipt.

Payment options vary. Tebra documents separate workflows for Tebra Payments and Patient Collect through Stripe, including supported saved-card and digital-wallet options for some practices.

Practice administrators can review Tebra's setup instructions to apply for Tebra Payments or activate Patient Collect through Stripe. Patients using a Stripe-enabled practice can also consult Tebra's Patient Portal Payment (Stripe) guide.

  3. Enter the requested card information or select another payment method offered by the practice.
  4. Check the amount and payment details.
  5. Select Process Transaction once, then wait for the confirmation page and receipt.

Tebra notes that card fields may clear when payment details are corrected. Re-enter the full card information carefully and do not repeatedly process the same transaction while waiting for confirmation.

Download itemized charge receipts

If your practice has enabled receipts, open Itemized Receipt from the dashboard. Filter by provider or date range, then download a PDF for one visit. You may also be able to select several visits and print separate receipts or combine eligible visits from the same practice and service location.

Practice administrators can use Tebra's instructions to enable receipts on the Patient Portal.

  1. Use the provider, start-date, and end-date filters to narrow the list.
  2. Select Clear filters to return to the default view.
  3. Select the download icon beside one visit to save its receipt as a PDF.
  4. To print several visits, select the applicable rows or use Select all.
  5. Open the Print options and choose separate receipts or, when eligible, one combined receipt.

For billing questions, contact the practice shown on the statement. Portal instructions can explain where to find information, but they cannot determine whether a charge, insurance adjustment, or patient balance is correct.

Manage account and guest access

Open the patient-name menu and select My Account to manage your password, review account activity, and control guest access. Invite only people you trust because an authorized guest may be able to view health information, send messages, and make payments on your behalf.

  • Account Settings: Review the email address linked to the account and use the settings control to change the password.
  • Authorized Guests: Invite a trusted user or revoke access that is no longer required. Guests cannot manage the patient's Account Settings or Authorized Guests list.
  • API Access Key: Generate a key only when you understand which approved health application will use it. Revoke a key that is no longer required.
  • Activity Log: Review account sign-ins, payments, sent messages, and other recorded activity.

  3. Choose the authentication method requested by the portal.
  4. Enter the guest's phone number or date of birth and email address.

Transition from Kareo to Tebra

Tebra's help center still uses several Kareo web addresses, including the patient login at portal.kareo.com. Tebra states that Kareo and PatientPop are now Tebra, and the transition is still reflected across its product names and support materials.

If a saved Kareo bookmark no longer works, begin with your practice's latest invitation or the official portal address. Do not assume that every old login, feature, or credential will behave identically. Your practice remains the right first contact for access and record questions.

Healthcare practices that need more administrative capacity around scheduling, intake, billing, and patient communication can explore HireHawk's healthcare staffing services, patient access and billing staffing, and the role page for a medical intake specialist. Staff should work inside the practice's approved systems, permissions, training, and privacy procedures.

Product instructions were checked against Tebra's official Patient Portal, payment, invitation, and password-reset help pages. Interface labels and available functions may change.

Tebra Patient Portal FAQs

What is the Tebra Patient Portal?

The Tebra Patient Portal is an online service connected to participating healthcare practices. Depending on the practice's configuration, patients can review health records and documents, exchange secure messages, view bills, make payments, download receipts, and authorize a trusted family member or caregiver to access selected account functions.

How do I activate my Tebra Patient Portal account?

Your healthcare practice must first send an invitation to the email address associated with your patient record. Open the invitation, select Get Started, create and confirm a password, enter the requested date-of-birth information, and select Create Account. Contact the practice if the invitation is missing or incorrect.

Can I access the Tebra Patient Portal from any device?

After activation, you can generally open the portal through a web browser on a computer, tablet, or mobile phone with internet access. Available features and display details may vary by device and practice configuration. Always confirm that you are using the official portal address before signing in.

What features can I access through the Tebra Patient Portal?

Available features can include medications, allergies, laboratory results, vitals, treatment plans, and other shared records. Depending on the practice's setup, you may also exchange secure messages, review bills and payment history, make online payments, download itemized receipts, and authorize a trusted guest to access the account.

How do I authorize access for a family member or caregiver?

Open My Account and select Invite Guests. Enter the guest's name, choose the requested authentication method, provide the required contact or identity details, and send the invitation. Authorized guests may view health information, send messages, and make payments, so grant access only to someone you trust.

Is my information secure on the Tebra Patient Portal?

Tebra describes the portal as a secure way to access information shared by participating practices. Security also depends on account practices and practice configuration. Use a unique password, protect your email account, avoid shared devices, and contact your practice about suspected unauthorized access.

What should I do if I forget my password?

On the official portal login page, select Forgot your password and enter the email address associated with your account. Follow the reset instructions sent to that inbox. Tebra's current process may provide a temporary password before asking you to create and confirm a new permanent password.

Can I download or send my health records from the portal?

Yes. From Health Records, use the Actions menu to view or download records for a selected date range. When available, you can also transmit records to another provider. Confirm the receiving address and ask the receiving practice which secure transmission method it accepts before sending sensitive information.

How do I make an online payment through the portal?

Open Payments, review the current balance and bill details, and select Make a Payment. Choose the permitted amount, enter payment information only on the secure portal screen, review the transaction, and process it once. Payment options appear only when the healthcare practice has enabled a supported service.

What if I have questions or need help using the portal?

Contact your healthcare provider's office for help with invitations, missing features, incorrect information, billing questions, or access problems. The practice controls your patient record and portal configuration. For product instructions, use Tebra's official Help Center rather than an unfamiliar third-party page or an unsolicited login link.
